Privacy Notice

1. Who we are

London Immigration Assistance Ltd ("we", "us", "our") is the data controller for the personal data described in this notice. 2. What we collect

• Contact details — name, email, telephone and WhatsApp number
• Immigration and case data — nationality, immigration status, visa history, application documents and supporting evidence
• Financial data — invoices and payment records (we do not store full card numbers)
• Communications — emails, WhatsApp messages, call notes and consultation records
• Website usage data — with your optional-measurement permission, public pages visited, links used and completed tools or forms, using a temporary per-tab reference. Consented first-source and latest eligible paid-source attribution expire after 30 days. Separate anonymous Start Application visit/start counts are never joined to applicant identities (see our Cookie Policy)

Some immigration matters involve special category data (for example health information in a human rights or adult dependent relative application, or details of a criminal record for good-character assessments). We only collect this where relevant to your matter and rely on the condition of "substantial public interest" or your explicit consent.

3. How we use it, and our legal basis

• To provide our services (contract) — preparing and submitting your immigration application
• To respond to enquiries and run our business (legitimate interests) — before any contract is formed
• To meet legal and regulatory obligations (legal obligation) — anti-money laundering checks, regulatory reporting
• To send marketing communications (consent) — only where you have opted in; you can withdraw consent at any time

Our website and WhatsApp assistant may process an enquiry automatically to answer general questions from our approved knowledge base, collect contact details and arrange a consultation. It does not decide whether you are eligible, predict an outcome or make a decision with legal or similarly significant effect. You can ask for a person at any time. If you opted in through a Facebook Lead Form, you can withdraw WhatsApp consent by replying STOP.

4. Who we share it with

We share personal data where necessary with the Home Office/UKVI and other authorities for your application, experts you instruct us to engage, service providers, and where required by law. Hosting and private document storage use Amazon Web Services. The public assistant uses AWS Bedrock with maintained references: do not enter passport details or confidential case documents in public chat. Stripe handles card payments. Our configured mail provider processes email; Meta processes WhatsApp messages when you use that channel. Use the secure client portal for case documents and sensitive correspondence. We do not sell your personal data.

Zoom provides our video consultation service. To arrange an appointment, we send Zoom its scheduled time and an opaque booking reference; we do not include immigration circumstances, application answers or case documents in meeting metadata. Information you choose to share during a call is processed through Zoom. Use the secure client portal for confidential documents. Ask the company if you need an alternative appointment method.

With your optional advertising-measurement permission, Google receives an advertising click identifier, an opaque transaction reference, the receipt time and its GBP value to measure which advertising leads to a successful payment. Refund corrections refer to that same opaque transaction; they do not resend the click identifier. We do not upload your name, email, immigration circumstances, application answers or case documents for this purpose, and we do not enable personalised advertising or immigration remarketing. You can withdraw permission in Cookie settings. Requests already sent cannot be recalled by changing a browser setting; previously received data remains subject to Google's controls and retention. 5. International transfers

Some of our service providers may process data outside the UK. Where this happens, we rely on adequacy decisions or appropriate safeguards such as the UK's International Data Transfer Agreement or Standard Contractual Clauses.

6. How long we keep it

Our client-file retention policy is six calendar years after case closure. Archiving does not close a case or start this period. A legal or regulatory hold may require longer retention. Disposal requires an authorised review covering stored documents and their versions, linked records and case history. Backup copies age out under the separate backup policy. Enquiries that do not become cases are reviewed for deletion when no longer needed; contact us for the retention decision applicable to your enquiry.

7. Your rights

Under UK GDPR you have the right to: access your data; correct inaccurate data; request erasure; restrict or object to processing; request portability; and withdraw consent at any time. To exercise any of these rights, contact us using the details above. You also have the right to complain to the Information Commissioner's Office (ICO).

8. Cookies and website measurement

Our website uses cookies and similar technologies as set out in our Cookie Policy. Optional visitor and advertising measurement require your permission. You can reject them without affecting our services, and withdraw permission in Cookie settings. Withdrawal clears our visitor reference and campaign attribution and stops future optional measurement. Do Not Track and Global Privacy Control are honoured. Aggregate visitor and separate anonymous application counters are retained for up to 365 days; they are never retrospectively joined to client identities.

We may update this notice from time to time. The date at the top shows when it was last revised.
